Overview:

Greater Flint Health Coalition (GFHC) is seeking an Administrative Assistant to join our team in Flint, MI to work in a fast-paced, demanding, but rewarding collaborative environment. You will have the opportunity to use your workforce development and healthcare sector knowledge to improve employment outcomes for unemployed, underemployed, and dislocated workers seeking to enter the state’s largest employment sector – health care.

The Administrative Assistant will be a temporary, contracted, part-time member of the GFHC’s Flint Healthcare Employment Opportunities (FHEO) Program team. The FHEO Program assists Flint & Genesee County residents with obtaining career training and education services that lead to employment for high-growth, high-demand healthcare jobs as specified by local healthcare employers. The program area engages with local residents from one or more of three populations served — adults, dislocated workers, and out-of-school youth (primarily between the ages of 18-24) who are interested in and/or are pursuing healthcare careers.

The FHEO Administrative Assistant provides administrative support including appointment scheduling, project management support, and preparation and maintenance of correspondence, records, and other documents (including a detailed, central office filing system).

Primary Responsibilities:

  • Assist with managing Workforce Innovation and Opportunity Act (WIOA) requirements for adult, dislocated worker, and/or out-of-school youth participants, including recruitment, screening, assessment, database entry, life skills training, credential training, supportive services, and job development.
  • Support Career Advisors with participant meetings and maintain regular communication to discuss, monitor, and support each participant’s training plans and progress, career objectives, employment progress, etc.
  • Develop and maintain case files on past graduates and current participants that have been assigned to case management, including detailed case notes on each participant.
  • Assist with entering data in the FHEO Program’s Apricot Information Management System as needed.
  • Review and audit participant’s files to ensure they are compliant with WIOA requirements and FHEO program standards.
  • Assist with the maintenance and development of quality control procedures.
  • Participate in outreach and recruitment events to share program information with interested residents.
  • Provide high level administrative support for the FHEO program staff.
  • Monitor and process day-to-day email and written correspondence utilizing established workflow and filing systems.
  • Maintain office files, a central/archival filing system, and complex file directory.
  • Compose correspondences, reports, agreements, and other documents.
  • Schedule and coordinate logistics for meetings and special events.
  • Gather data and information from a variety of sources and complies, analyzes, and prepares data for generating reports.
  • Maintain office supply inventory and conducts supply orders with approved vendors on an ongoing basis.
  • Maintain office procedures and policies.
  • Other duties as assigned.

Qualifications & Experience Required:

  • Two to three years of administrative experience in a fast-paced office setting.
  • Ability to work independently, organize and multi-task with attention to detail and accuracy, and work with interruptions.
  • Experience coordinating meetings and small conferences and other general office procedures.
  • Strong working knowledge of Word, Access, Excel, PowerPoint, and Outlook software.
  • Excellent written and verbal communications skills with an ability to present self in a courteous, tactful, and professional manner.
  • Considerate, attentive, and punctual.
  • Helpful and motivated (career-oriented, not seeking “just a job”).

Reports to:

Senior Program Director

Job Status:

Part Time, Hourly; Monday through Friday; 8:30 a.m. to 5:00 p.m. with meetings and events earlier, later, or on weekends as required by the responsibilities of the position. This is a contracted, temporary position with funding available through August 2025.
