Job Summary
Provides overall support to the Academic Field-Work Coordinator (AFWC), Academic Capstone Coordinator (ACC), and Program Director in the University of Michigan-Flint's Occupational Therapy academic program.
This position reports administratively to the department Office Manager, but will functionally report to the Coordinators and Program Director.
This is a full-time 40 hour per week (100% effort) position.
The hourly salary range is $18.17 to $22.69.
Responsibilities*
Admissions Support - 60% effort
- Review applicant transcripts and supporting materials to determine admissions eligibility and maintain accurate records in OTCAS.
- Coordinate prospective-student interviews and communicate timely admissions updates to applicants and admitted students.
- Respond professionally to inquiries from prospective students and families, providing high-quality customer service throughout the admissions process.
- Complete annual OTCAS configuration, system updates, and ongoing database maintenance.
- Support student recruitment, marketing, and outreach initiatives.
- Collaborate with faculty and staff to ensure an efficient and seamless admissions process.
Capstone and Fieldwork Support - 40% effort
- Provide administrative support to the Academic Fieldwork Coordinator, Academic Capstone Coordinator, Program Director, and Clinical Education Team, including correspondence, meeting coordination, minutes, events, and staff backup.
- Provide administrative support for fieldwork and capstone placements by tracking site availability, supporting student assignments, maintaining Exxat records, and communicating with students, faculty, and clinical partners.
- Monitor student eligibility and compliance with clinical education and health requirements; maintain and distribute related handbooks, policies, and orientation materials.
- Provide administrative support for clinical site visits; affiliation agreements; evaluation access and data collection; and other required documentation.
- Serve as an informational resource regarding clinical education procedures and university policies.
- Support accreditation, annual, and internal reporting, and maintain program communications across websites, newsletters, eNews, and promotional materials.
Required Qualifications*
- High School diploma or equivalent
- Four or more years of administrative support experience
- Experience with programs such as Microsoft Office, Google Suite, Zoom

Modes of Work
Hybrid
The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.

Work Locations
The primary work location for this position is in the William S. White Building on the Flint Campus.
