Job Summary
The Service Coordinator plays a critical role in supporting the MI Service Group by managing payroll processes, organizing documentation, coordinating travel, and facilitating communication between departments. This position ensures operational efficiency through meticulous record-keeping, CRM updates, safety compliance, and collaboration with internal teams such as Marketing, Engineering, and Project Management.

Main Duties & Responsibilities
Payroll & Time Entry
  • MI Service Time Entry and Balancing for Payroll
  • Serve as backup for MIM Time Entry and Balancing
Accounting & Documentation
  • Organize and file purchase receipts (Gas and Capital One cards)
  • Manage MI Service calendars and document control systems
  • Create and manage tech job files in Dropbox
  • Consolidate service reports into job files
CRM & Logs Management
  • Update and maintain Opportunities in CRM
  • Maintain Open Items Log and Warranty Log
  • Manage General Motors Avetta portal
Commissioning
  • Provide administrative support for commissioning tasks
Document Control
  • Create and update standardized documentation for MI Service Group
  • Maintain Service Drive (R:) file structure
Marketing Collaboration
  • Coordinate with Marketing on tech swag, fleet logos, customer gifting
  • Assist with newsletters and flyers
Administrative Support
  • Provide support to Service VP, Manager, Techs, and Engineers
  • Handle data entry, filing, scanning, purchase/shipping requests
  • Manage onboarding/prequalification forms for customers and vendors
  • Facilitate union communication (Local 370)
  • Submit per diem and expense reports
  • Create training manuals, work orders, job sequences, and change orders
Travel & Project Coordination
  • Arrange travel for service personnel
  • Act as liaison with Project Management team
Office Administration
  • Perform miscellaneous administrative tasks as needed
Safety Management
  • Coordinate OSHA and MUST certifications, drug screenings, and orientations
  • Manage PTA, JSA, Lift Plans, and technician profiles (PPE, certifications, etc.)
Qualifications & Skills
  • Education - Preferred: Bachelor’s degree
  • Proven experience in administrative or operations support role
  • Skills, Knowledge and Abilities: Teachable, Team Player, Decisive, Leader
  • Proficient with Microsoft Office Suite and document management systems
  • Familiarity with payroll systems (e.g., Paycor), CRM platforms, and Dropbox
  • Excellent communication skills both verbal and written
  • Exemplary planning and organizational skills (multi-tasking and time-management)
  • Ability to prioritize projects
  • Knowledge of safety compliance standards (OSHA, MUST, etc.)
  • Self-disciplined and capable of identifying and completing critical tasks independently
  • Exceptional interpersonal skills, including teamwork and facilitation skills
  • Must possess excellent attention to detail
