Performs administrative assistance to the Medical Staff Coordinator, including handling sensitive reports, files and matters of a highly confidential nature requiring utmost discretion and tact in guarding confidentiality. A large portion of the incumbent's time is devoted to completing assignments designed to relieve Medical Staff Coordinator. The principal emphasis is on assisting in the maintenance of medical staff records for licensure and accreditation requirements, participating in quality assessment and continuous quality improvement activities, and performing all job duties and responsibilities in a courteous and customer-focused manner according to the Hurley Family Standards of Behavior. Works under the direct supervision of the Medical Staff Coordinator and general direction of the chief of Staff and Vice President for Outcomes Management/Chief Quality Officer who assigns and reviews work for completeness and accuracy.


  • Education equivalent to completion of the twelfth school grade.
  • Three (3) years experience in the performance of responsible and difficult clerical or secretarial work.
  • Considerable knowledge of modern office practices and procedures, and/or technical or medical terminology.
  • Must possess a willing attitude to learn new procedures, adapt to regulatory, accreditation and licensure changes affecting professional staff practices and hospital operations.
  • Ability to type from plain copy at the rate of fifty (50) words per minute.
  • Ability to independently compose and compile effective correspondence.
  • Ability to understand and follow oral and written instructions.
  • Ability to assemble and organize data and to prepare accurate reports from such data.
  • Ability to make decisions independently in accordance with Medical Center/departmental rules, regulations, policies, and procedures.
  • Ability to work professionally with ambiguity.
  • Ability to communicate effectively with employees, physicians, patients, and the public tactfully and courteously.
  • Employees who successfully complete the performance test to take dictation at the rate of one hundred (100) words per minute will automatically be allocated to a Level 15.
    1. Assists with processing applications for medical staff membership/clinical privileges. Requests appropriate information. Reviews information provided. Maintains appropriate records.

    2. Assists with processing applications for reappointment for medical staff membership/clinical privileges. Requests appropriate information. Reviews/verifies information provided. Obtains approval. Maintains appropriate records.

    3. Assists with preparation of meeting materials, planning of monthly and semi-annual meetings. Attends meetings as needed.

    4. Assists with the maintenance of appropriate files and confidential records of medical staff.

    5. Takes minutes of meetings and provides clerical/administrative support of meetings and functions, as necessary and requested. 6. Assists with the maintenance of up-to-date medical staff roster, departmental/specialty lists, alternate (back-up) physicians ' list, clinical privileges lists, and such other lists as may be needed within Medical Staff Office.

    6. Assists with the maintenance of retrievable aggregated database of all medical staff members ' state licenses, federal licenses, insurance board certification, other pertinent demographic information, and PPD testing.

    7. Assists with the maintenance of confidential physician hospital performance records. Assists with the preparation and mailing of meeting notices and agendas.

    8. Communicates coordinator's instructions to various individuals. Furnishes and obtains highly confidential information.

    9. Provides comprehensive administrative support to Medical Staff Coordinator and Medical Staff Office.

    10. Plans and implements office practices and procedures including maintenance and revision of document flow.

    11. Determines issues of which medical staff coordinator needs to be aware and communicates them appropriately.

    12. Works on special projects as assigned.
