Hours: Monday - Friday 8:00 am - 4:30 pm (No weekends)
The Assistant Office Operations role supports the Cardiology department at Henry Ford Health and is primarily responsible for phone‑based appointment scheduling. This position plays a critical role in managing scheduling requests for 19 physicians and Advanced Practice Providers, handling a high volume of inbound calls, and ensuring accurate patient information is gathered to support downstream clinical workflows.
The ideal candidate will have prior medical office experience or strong familiarity with insurance requirements and referral processes. Success in this role requires excellent attention to detail, strong customer service skills, and the ability to work collaboratively in a fast‑paced, team‑oriented environment. While Epic experience is not required, it is a plus, as the office will transition to Epic in June 2025.
This is a non–patient‑facing, behind‑the‑scenes role with standard weekday hours (8:00 a.m. – 4:30 p.m., Monday–Friday; no weekends), offering a strong work‑life balance and opportunities for cross‑training and growth within Assistant Office Operations.
GENERAL SUMMARY:
Works in a customer service capacity providing administrative and clerical support to patients and customers in a medical setting.
Responsibilities:
Greets patients and visitors,
Checks patients in and out,
Obtains necessary documentation.
Verifies and enters demographic information.
Obtains and verifies insurance authorizations/precertification.
Completes medical record release requests and schedules/confirms patient appointments.
Enters, reviews and submits charges for patient procedures and services daily.
Collects co-payments and reconciles all daily reports and deposits for accuracy.
Provides general office and clerical support to assigned area.
EDUCATION/EXPERIANCE REQUIRED:
High School diploma equivalency OR
1 year of applicable cumulative job specific experience required.
