Job Description

Join our Labor and Delivery, Special Care Nursery, and Postpartum team as an Administrative Associate, where you'll play a vital role in supporting exceptional patient care during one of life's most important moments. As a member of our patient care delivery team, you'll perform a variety of essential clerical and administrative functions that directly impact the patient experience and operational excellence of our unit.

Key Responsibilities:

Patient Care Support & Registration:

Register and admit patients to the unit with accuracy and compassion; enter and maintain comprehensive patient information in hospital computer systems including demographic and financial data; assign and verify patient medical record numbers. Prepare essential documentation such as pre-admission and consent forms to ensure seamless patient onboarding.

Financial & Insurance Coordination:

Verify and assess insurance coverage for all encounter types, including Blue Cross, HMOs, PPOs, private insurance, Medicare, and Medicaid. Process payments for hospital and medical services; maintain petty cash funds; balance cash drawers and prepare daily cash reports and bank deposits.

Communications & Patient Interaction:

Serve as the unit receptionist and primary information resource for patients, families, nursing staff, physicians, and visitors. Coordinate all unit communications by answering telephones, managing mail and fax correspondence, and responding to pager communications in a friendly and professional manner. Maintain effective interpersonal relationships while ensuring accurate information sharing and escalating concerns to management for problem resolution.

Clinical Documentation & Records Management:

Transcribe physician orders and enter necessary information into hospital systems to ensure efficient execution of care. Demonstrate proficiency in creating, assembling, and analyzing patient medical records according to hospital and Joint Commission/HFAP standards. Prepare charts for discharge and maintain records in consistent, current, and organized order.

Specialized Functions:

Interview patients and families to complete accurate birth certificates and related documents within regulatory timeframes, including data maintenance and downloads to MDPH. File complete and accurate registers with the County Clerk's Office. Process death records, coordinate funeral home notifications, and manage body release procedures as needed.

Operational Excellence:

Demonstrate commitment to Patient-Focused Care philosophy, continuous quality improvement, and team collaboration. Maintain strict confidentiality of all hospital matters and patient information in accordance with Federal and State regulations. Assist the patient care team with non-clinical activities as directed. Perform additional duties as assigned to support unit operations.

Essential Functions:

Proficiency in medical terminology, hospital computer systems, and general office equipment; excellent interpersonal and communication skills; strong analytical and math abilities; mobility to move between rooms and floors, including ability to assist with patient lifting, moving, and evacuation when needed.

Working Conditions:

Work in a patient care unit environment with potential exposure to patient illness, communicable diseases, blood and body fluid hazards, and hazardous chemicals.

Orientation Requirements:

Must attend Medical Center New Hire and department orientations.

Qualifications

Education:

High School diploma equivalency OR 1 year of applicable cumulative job specific experience required. - Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable. No additional preferences.
