Job Description

Schedule: Mon/Wed 7am-5:30pm, Friday 6am-2:30pm

As an Office Operations Assistant, you'll be the welcoming face of our ambulatory physical therapy practice, delivering exceptional customer service while managing critical administrative functions. Your role directly impacts patient experience and operational efficiency.

Key Responsibilities:

  • Create a positive first impression by warmly greeting patients and visitors, efficiently checking them in and out, and gathering all necessary documentation to ensure a smooth patient experience.
  • Accurately verify and enter demographic information while obtaining and confirming insurance authorizations and precertification—keeping our operations running seamlessly.
  • Process medical record release requests and expertly schedule and confirm patient appointments, serving as a reliable point of contact for our patients.
  • Manage daily charge entry, review, and submission for patient procedures and services with precision and attention to detail.
  • Handle collections professionally by gathering co-payments and meticulously reconciling daily reports and deposits to ensure complete accuracy.
  • Provide comprehensive office and clerical support to your assigned area, contributing to a well-organized and efficient practice environment.

Qualifications

Requirements:

High School diploma equivalency OR 1 year of applicable cumulative job specific experience required. - Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.

Preferred:

  • Customer Service experience
  • Medical billing
  • Comfortable with Microsoft Word and Teams
  • Use of electronic medical records- EPIC
